Setup Your Schedules and Shifts
Define work schedules, shift types, and rostering rules
Create shift types
Go to Schedules and open the shift configuration. Click 'Add Shift' to define each shift your organisation uses.
Shift details to configure:
- 1Name — e.g., 'General Shift', 'Night Shift', 'Split Shift', 'Half-Day'.
- 2Start time — when the shift begins (e.g., 09:00 AM).
- 3End time — when the shift ends (e.g., 06:00 PM).
- 4Break duration — unpaid break time deducted from effective hours (e.g., 60 minutes).
Advanced shift settings:
- Effective work hours — calculated automatically from start/end minus break; used for overtime calculation.
- Grace period — shift-specific late tolerance if it differs from the global default.
- Rotational — mark as rotational if employees cycle through multiple shifts on a schedule.
Create all shifts your organisation uses before setting up weekly schedules. Shifts appear in dropdowns throughout the platform.

Set up weekly schedules
Go to Schedules and click 'Create Schedule' to define the weekly pattern for a department or group of employees.
Steps to create a schedule:
- 1Select the department or employee group this schedule applies to.
- 2For each day of the week, assign a shift type or mark it as a weekly off.
- 3Example: Mon–Fri General Shift, Saturday Half-Day, Sunday Off.
- 4Save the schedule — it's automatically assigned to all employees in the selected group.
Tips for managing schedules:
- Clone an existing schedule to another department to save time.
- Override individual schedules from the employee's profile when someone has different hours.
- Published schedules are visible to employees on their dashboard and mobile app immediately.
Manage shift assignments and rotation
Individual shift assignment:
- 1Go to an employee's profile and open their Schedule tab.
- 2Assign a custom shift pattern — this overrides their department default.
- 3Useful for employees with flexible hours, part-time staff, or those on a different rotation.
Bulk shift assignment:
- 1Go to the Schedules module and select multiple employees using checkboxes.
- 2Click 'Assign Shift Pattern' and choose the shift type.
- 3All selected employees are updated in one action.
Rotational shifts:
- Set the rotation frequency — weekly or monthly.
- Define the rotation order (e.g., General → Night → General → Off).
- The system automatically cycles employees through the shift types based on the defined pattern.
Configure punch methods for shifts
Go to Settings > Leave & Attendance > Punch Config to configure how employees mark attendance for each shift.
Available punch methods:
- Kiosk — shared device at office entrance; employees tap their ID to punch.
- Face Recognition — selfie-based punch using the device camera.
- Biometric Device — integration with fingerprint or iris scanners.
- Geo Tagged — GPS-stamped mobile punch for remote or field employees.
Configuration options:
- Require selfie alongside any punch method for additional verification.
- Enable methods per shift type — e.g., Kiosk for office shifts, Geo Tagged for field shifts.
- Enable methods per location — different offices can use different punch methods.
Enable shift swaps and overtime rules
Shift swaps:
- 1In Schedules settings, enable Shift Swaps to let employees trade shifts with colleagues.
- 2Choose whether swaps require manager approval or happen automatically.
- 3Both employees see the swap on their dashboard once confirmed.
Overtime rules (Settings > Leave & Attendance > Attendance):
- Overtime multipliers — e.g., 1.5x for weekday OT, 2x for holidays.
- Maximum OT per day/week — set caps to comply with local labour laws.
- Published schedules are visible to employees on their dashboard and mobile app immediately.
