Manage Employees and Your Team

Profiles, documents, onboarding, and offboarding

View the team directory and org chart

Go to People > Team Directory to see every employee in a searchable, filterable list.

Team directory features:

  • Searchable list with columns for name, department, job title, location, reporting manager, and status.
  • Filter by department, location, status, or reporting manager.
  • Click any row to open the full employee profile.

Org chart (People > Org Chart):

  • Visual hierarchy showing who reports to whom.
  • Clickable nodes — click any person to open their profile.
  • Useful for understanding team structure and reporting lines at a glance.

Manage employee profiles

Open any employee profile to view and edit their complete information. Each profile is organised into tabs:

Profile tabs:

  • Personal Details — name, date of birth, gender, blood group, emergency contacts.
  • Contact Info — email, phone, current address, permanent address.
  • Employment — department, job title, reporting manager, date of joining, employment type.
  • Bank Accounts — account number, IFSC, bank name (feeds directly into payroll).
  • Documents — offer letters, appointment letters, ID proofs, uploaded files.
  • Contracts — employment contracts with start/end dates and auto-archival on expiry.
  • Permissions — role assignment and custom permission overrides.

Keep bank account details up to date — incorrect details delay salary disbursement.

Onboard new employees

Go to People > Onboarding and click 'Start Onboarding' to set up a new hire's first weeks.

Onboarding steps:

  1. 1Select the employee and set the onboarding start date.
  2. 2The system assigns onboarding tasks automatically based on your template.
  3. 3Tasks include: document collection (ID proof, address proof), IT setup requests, orientation sessions, and checklist assignments.
  4. 4Track completion progress on the onboarding dashboard.

Bulk onboarding:

  • Use Onboard > Bulk to add multiple hires at once from a CSV.
  • Upload employee details and the system creates profiles and triggers onboarding for all.

Onboarding tasks can be customised under Settings > Processes > Clearance Templates.

Manage offboarding and resignations

When an employee leaves, the offboarding process ensures a smooth transition with proper clearances and final settlements.

Initiating offboarding:

  • Self-service: Employee submits resignation from My Resignation.
  • Admin-initiated: HR or admin starts offboarding from People > Off-boarding.

Clearance checklist:

  1. 1IT collects devices (laptop, phone, access cards).
  2. 2HR collects company property (ID card, keys, library books).
  3. 3Finance settles outstanding dues and calculates final settlement.
  4. 4Each clearance item is tracked with completion status.

Final settlement:

  • Notice period pay — applied if the employee doesn't serve the full notice.
  • Leave encashment — payout for unused earned leave days.
  • Deductions — recoveries for unreturned assets or outstanding advances.
  • Once cleared, the employee is marked as 'Ex' and deactivated from the platform.

Handle employee documents and contracts

Documents and contracts are managed per employee under their profile. Keep these up to date for compliance and reference.

Document management:

  • Upload files under Profile > Documents — offer letters, appointment letters, ID proofs, HR correspondence.
  • Documents are searchable and downloadable by admins and the employee.
  • Use document categories to organise files (e.g., 'Identity', 'Employment', 'Training').

Contract management:

  1. 1Create contracts with start and end dates under Profile > Contracts.
  2. 2Contracts auto-archive on expiry — no manual tracking needed.
  3. 3Renew contracts by editing the end date or creating a new contract record.

Document templates:

  • Create reusable templates under Documents > Templates with dynamic fields ({employee_name}, {role}, {salary}).
  • Generate offer letters, appointment letters, and experience letters with one click.
  • Generated documents can be signed digitally and stored permanently.
