Manage Finance and Invoicing
Clients, invoices, payments, and expense tracking
Manage clients
Go to Finance > Clients and click 'Add Client' to register a new client for invoicing.
Client details to enter:
- Company name — the client's business name.
- Contact person — primary point of contact.
- Email and phone — for sending invoices and communication.
- Billing address — used on generated invoices.
- GST number — if applicable for tax compliance.
Client overview:
- The client list shows all active clients with their outstanding balance.
- Click any client to view their invoice history, payment records, and total billed amount.
- Client data feeds into invoices and quotations for faster creation.
Create invoices and quotations
Creating an invoice:
- 1Go to Finance > Invoices and click 'Create Invoice'.
- 2Select the client from the dropdown.
- 3Add line items — description, quantity, rate, and tax for each.
- 4The system calculates subtotals, tax, and total automatically.
- 5Set payment terms — due on receipt, net 15, net 30, etc.
- 6Set the invoice date.
Quotations:
- Create quotations under Finance > Quotations — same flow as invoices.
- Convert a quotation to an invoice with one click once the client accepts.
- Track quotation status as Draft, Sent, Accepted, or Expired.
Sending invoices:
- Send invoices directly from the platform via email with a PDF attachment.
- Track invoice status as Sent, Paid, Overdue, or Cancelled.
- Download invoices as PDF for manual sharing.

Track payments and recurring billing
Recording payments:
- 1When a client pays, go to Finance > Payments.
- 2Record the payment against the specific invoice.
- 3The system marks the invoice as paid and updates the outstanding balance.
- 4Partial payments are supported — the invoice remains open until fully paid.
Recurring billing:
- 1Go to Finance > Recurring to create recurring invoice templates.
- 2Set the frequency — monthly, quarterly, or annually.
- 3The system auto-generates invoices on schedule.
- 4Useful for subscription-style billing or retainer clients.
Credit notes:
- Handle returns or adjustments under Finance > Credit Notes.
- Credit notes reduce the client's outstanding balance.
- Link credit notes to specific invoices for traceability.
Submit and manage expenses
Submitting an expense claim:
- 1Go to your dashboard or the Expenses section.
- 2Select the expense category — Travel, Food, Supplies, Client Entertainment, etc.
- 3Enter the amount, date, and description.
- 4Attach a receipt or supporting document.
- 5Submit — the claim routes through the configured approval flow.
Manager review:
- 1Go to Finance > Expenses to view pending claims.
- 2Review the claim details and attached receipts.
- 3Approve or reject with comments.
- 4Approved expenses are queued for reimbursement based on your schedule.
Expense reports can be exported for accounting integration. Use Finance > Reports for consolidated views.
