Manage Recruitment and Hiring

Jobs, candidates, pipeline, and career page

Create and publish job postings

Go to Recruitment > Jobs and click 'Create Job' to open a new job listing.

Job posting details:

  1. 1Job title — the role name as it appears on the career page.
  2. 2Department — which team the role belongs to.
  3. 3Location — office, remote, or hybrid.
  4. 4Employment type — full-time, part-time, contract, or internship.
  5. 5Description — detailed responsibilities, requirements, and benefits.
  6. 6Openings — number of positions available.
  7. 7Hiring manager — the person responsible for this role.

Publishing and distribution:

  • Click 'Publish' — the job appears on your career page widget immediately.
  • Share via a direct link or embed on your company website.
  • Integrate with LinkedIn to auto-post openings (if configured).

Manage the candidate pipeline

Go to Recruitment > Pipeline to see all candidates organised by stage. The pipeline gives a visual overview of your hiring progress.

Pipeline stages:

  1. 1New — applications just received.
  2. 2Screening — initial review of resume and cover letter.
  3. 3Shortlisted — candidates who meet the basic criteria.
  4. 4Interview — candidates with scheduled or completed interviews.
  5. 5Offer — candidates who have received an offer.
  6. 6Hired — candidates who accepted and are being converted to employees.
  7. 7Rejected — candidates not moving forward (with rejection reason).

Candidate management:

  • Drag and drop candidates between stages as they progress.
  • Click any card to view the full profile with resume, cover letter, interview notes, ratings, and communication history.
  • Add internal notes visible only to the hiring team.

Schedule and track interviews

From a candidate's profile, schedule interviews with panel members. The system handles the logistics so you can focus on evaluation.

Interview workflow:

  1. 1Open the candidate's profile and click 'Schedule Interview'.
  2. 2Select the interviewers (one or more panel members).
  3. 3Set the date, time, and format (in-person, phone, or video).
  4. 4The system sends calendar invites to the candidate and interviewers.
  5. 5After the interview, panel members submit feedback and ratings through a structured form.
  6. 6Feedback is visible to the hiring team in the candidate timeline.

Use scorecard templates to ensure consistent evaluation criteria across all candidates and interviewers.

Make an offer and hire

When a candidate is ready to hire, move them through the offer and hiring stages.

  1. 1Move the candidate to the Offer stage in the pipeline.
  2. 2Generate an offer letter using the Documents template system — candidate details are pre-filled.
  3. 3Send the offer letter to the candidate for review and acceptance.
  4. 4Track offer acceptance — once accepted, move the candidate to Hired.
  5. 5Hired candidates can be converted to employees directly — profile data (name, email, phone, role) carries over.
  6. 6The system triggers the onboarding process automatically.

Converting a hired candidate to an employee avoids duplicate data entry — all application data transfers to the employee profile.

Set up the career page widget

Go to Recruitment > Widget & Embed to configure your public career page that can be embedded on your company website.

Widget configuration:

  1. 1Customise colours and branding to match your website.
  2. 2Choose the layout — grid, list, or compact view.
  3. 3Select which job fields to display (title, location, department, type).
  4. 4Copy the embed code and paste it on your company website.

How candidates apply:

  • Candidates browse published jobs and click 'Apply'.
  • They fill in their details, upload a resume, and submit.
  • Applications appear in the Recruitment pipeline automatically.
  • Enable AI-powered candidate matching if the AI Recruiting module is active.
