Setup Your Organisation Policies and Rules

Define how leave, attendance, and approvals work

Create leave types and policies

Go to Settings > Leave & Attendance > Leave Types and click 'Add Leave Type'. Each leave type defines a category of leave with its own rules.

Leave type configuration:

  1. 1Name — e.g., 'Earned Leave', 'Sick Leave', 'Casual Leave', 'Maternity Leave'.
  2. 2Credit count per year — how many days are granted annually.
  3. 3Carry-forward limit — maximum unused days that roll over to the next year.
  4. 4Minimum notice period — how many days before the leave date the employee must apply.

Advanced settings:

  • Pro-rata crediting — new joiners accrue leave proportionally from their date of joining.
  • Accrual frequency — choose monthly, quarterly, or annual crediting.
  • Encashment rules — whether unused leave pays out at year-end or on resignation.
  • Gender-specific leave — add maternity/paternity leave with applicable legal minimums.

Each leave type applies to every employee immediately after creation. You can restrict visibility by department or role if needed.

Set up the holiday calendar

Go to Settings > Leave & Attendance > Holidays and click 'Add Holiday' to define non-working days for your organisation.

Holiday types:

  • National holidays — apply to all employees across every location.
  • State/regional holidays — specific to a location (e.g., Pongal in Tamil Nadu).
  • Company-specific holidays — foundation day, annual shutdown, etc.
  • Optional holidays — employees can choose to work or take off (e.g., religious holidays).

Steps to add holidays:

  1. 1Click 'Add Holiday' and enter the name, date, and type (optional or mandatory).
  2. 2Assign the holiday to specific locations or all locations.
  3. 3For bulk uploads, download the CSV template, fill in the data, and import.
  4. 4Repeat for each financial year — holidays don't auto-rollover.

Holidays are automatically applied to attendance — no one is marked absent on holidays. They also feed into leave balance calculations and shift scheduling.

Configure attendance rules

Go to Settings > Leave & Attendance > Attendance to define how daily attendance works across your organisation.

Core settings:

  • Work week — define which days are working days (e.g., Mon–Sat or Mon–Fri).
  • Daily work hours — e.g., 9 hours including a 1-hour break.
  • Start of the working day — when the attendance window opens.

Attendance rules:

  1. 1Grace period — minutes after shift start before an employee is marked late (e.g., 15 minutes).
  2. 2Half-day threshold — minimum hours to count as a half-day vs. full-day absence.
  3. 3Geo-fencing — enable GPS radius check so attendance only counts within a defined distance of the office.
  4. 4Selfie capture — optionally require a photo during check-in for verification.

Overtime configuration:

  • Daily OT — hours beyond the standard shift.
  • Weekly OT — total hours beyond the standard work week.
  • Pre-approval required — toggle whether OT must be approved before it counts.
  • Maximum OT caps — comply with local labour law limits.

Create approval workflows

Go to Settings > Processes > Approval Flows and click 'Create Approval Flow'. Approval workflows define who reviews and approves requests across the platform.

Supported modules for approval flows:

  • Leave requests
  • Attendance corrections
  • Expense claims
  • Shift swaps
  • Document requests
  • Resignations

Building an approval chain:

  1. 1Select the module (e.g., Leave).
  2. 2Add the first approver — typically the reporting manager.
  3. 3Optionally add a second level — e.g., department head if the leave exceeds 5 days.
  4. 4Add a final level — e.g., HR for review before approval.
  5. 5Set escalation rules: if an approver doesn't act within 24 hours, auto-escalate to the next level.
  6. 6Save and test with a sample request from a test employee account.

Always test each flow end-to-end before company-wide rollout. Misconfigured approval chains cause delays and frustrated employees.

Set up expense categories and policies

Configure expense categories and rules so employees can submit claims and finance can process reimbursements efficiently.

Creating expense categories:

  1. 1Go to Finance > Expenses (or Settings, depending on your configuration).
  2. 2Click 'Add Category' and enter a name — Travel, Food, Office Supplies, Client Entertainment, etc.
  3. 3Set a per-claim limit (e.g., ₹5,000 per claim without manager approval).
  4. 4Toggle whether a receipt attachment is required for claims in this category.

Additional configuration:

  • Mileage rates — set per-km reimbursement for personal vehicle use.
  • Per-diem rates — fixed daily allowances for travel.
  • Approval flow — attach an existing approval flow (from Approval Flows) to route claims for review.
  • Reimbursement schedule — weekly, bi-weekly, or monthly payout cycles.

Policies are enforced automatically when employees submit expense claims. Claims exceeding limits or missing receipts are flagged for review.
