How to Create Account and Setup

Get your SignHR workspace up and running

Sign up and create your workspace

  1. 1Visit the SignHR sign-up page and enter your work email, full name, and a strong password.
  2. 2Click 'Create Account' and check your inbox for a verification email.
  3. 3Click the verification link in the email to activate your account.
  4. 4You'll be taken to the initial setup wizard.

During the setup wizard, configure:

  • Organisation name — your company or team name as it appears across the platform.
  • Subdomain — choose a unique identifier (e.g., yourcompany.signhr.io) that becomes your team's dedicated workspace URL.
  • Timezone — set your primary timezone so attendance and scheduling are accurate.
  • Financial year start month — determines payroll and leave cycle periods.
  • Date format — defaults to en-IN locale (5 January 2026).

Your subdomain cannot be changed later. Choose something short and memorable.

Set up your company profile

Navigate to Settings > Company > Company Profile to add your company details. This information appears across the platform on login pages, email notifications, employee dashboards, and payslips.

Company profile fields:

  • Company name — the official name displayed on documents and payslips.
  • Logo — upload your company logo (recommended: PNG, 512x512px or larger).
  • Contact email — the primary support email for employee queries.
  • Phone number — optional, displayed on the login page.

Company preferences (Settings > Company > Preferences):

  • Default timezone — cascades to every module (attendance, scheduling, reports).
  • Date format — standardise how dates appear platform-wide.
  • Financial year start month — determines leave year and payroll periods.

These defaults apply to all employees unless overridden at the individual level.

Add locations, departments, and job titles

Set up your organisational structure before adding employees. This ensures every new hire can be assigned to the right department, location, and role from day one.

Locations (Settings > Organization > Locations):

  1. 1Click 'Add Location' and enter the office name (e.g., 'Head Office', 'Bangalore Branch').
  2. 2Fill in the full address including city, state, and postal code.
  3. 3Add geo-coordinates (latitude/longitude) if you plan to use GPS-stamped attendance.
  4. 4Save the location — it's now available when assigning employees.

Departments (Settings > Organization > Departments):

  • Create your org structure — Engineering, Sales, HR, Finance, Marketing, Operations, etc.
  • Optionally assign a department head from the dropdown (you can update this later).
  • Departments appear in reports, filters, and the org chart.

Job Titles (Settings > Organization > Job Titles):

  • Add standardised role names — 'Senior Software Engineer', 'Sales Manager', 'HR Generalist'.
  • Job titles appear in employee profiles, recruitment postings, and reports.
  • Keeping titles consistent avoids duplication in filters and analytics.

Invite your team members

Go to People > Team Directory and click 'Invite Employees' to add your team.

Individual invitations:

  1. 1Enter email addresses one by one, or paste a list separated by commas.
  2. 2Each invitee receives an email with a secure link to set their password and fill in their profile.
  3. 3Invited employees appear with a 'Pending' status until they complete registration.

Bulk import:

  1. 1Download the CSV template from the same page.
  2. 2Fill in columns: name, email, department, job title, reporting manager, date of joining, etc.
  3. 3Upload the completed CSV — the system validates the data and creates all employees in one go.

For large teams (50+), bulk import is significantly faster than individual invitations.

Assign roles and permissions

SignHR ships with three default roles. You can customise these or create new ones to match your team's access needs.

Default roles:

  • Admin — full access to all modules, settings, and data across the platform.
  • Manager — can manage their direct reports (approve leaves, view attendance, assign tasks).
  • Employee — self-service access (mark attendance, apply for leave, view payslips, submit requests).

Creating custom roles:

  1. 1Go to Settings > Access > Permission Groups.
  2. 2Click 'Create Role' and give it a name (e.g., 'Payroll Specialist', 'Recruitment Lead').
  3. 3Toggle individual permissions — each follows the module.action-scope format (e.g., attendance.manage-all, leaves.view-all).
  4. 4Assign the role to employees from their profile page under the Permissions tab.

Permission strings must use the format Perm.* from the platform's permission system. Legacy snake_case strings (e.g., 'view_people') silently fail.

Complete the setup checklist

SignHR provides an interactive setup guide at Settings > Setup Guide that tracks your progress through the essential configuration steps.

Key items to configure before rollout:

  • Bank accounts — needed for salary disbursement and client payments.
  • Leave types — define Earned Leave, Sick Leave, Casual Leave, etc.
  • Attendance rules — set work hours, grace periods, and punch methods.
  • Approval flows — configure who approves leaves, expenses, and corrections.
  • Holiday calendar — add national and company-specific holidays.

Before company-wide launch:

  1. 1Test the platform with a sample employee — have them punch in, apply for leave, and submit an expense.
  2. 2Verify approval workflows route correctly.
  3. 3Check that payslips generate with the right components.
  4. 4Confirm the login page shows your logo and branding.

Running a pilot with 3–5 employees before company-wide rollout catches misconfigurations early.
