Configure System Settings
Company preferences, integrations, and platform configuration
Company-level settings
Settings > Company contains your organisation's core configuration — the details that appear across the platform.
Company profile (Settings > Company > Company Profile):
- Company name — displayed on invoices, payslips, and the login page.
- Logo — appears on the login page, email notifications, and documents.
- Contact email and phone — for employee queries and support.
Company preferences (Settings > Company > Preferences):
- Timezone — cascades to every module.
- Date format — standardise across the platform.
- Financial year start month — determines payroll and leave cycles.
Bank accounts (Settings > Company > Bank Accounts):
- Add bank accounts used for salary disbursement.
- Configure multiple accounts if payroll is processed from different sources.
- Client payments can also be directed to specific accounts.
Organisation structure
Under Settings > Organization, manage the structural elements that define your company's hierarchy and reporting.
Locations (Settings > Organization > Locations):
- Add office addresses with geo-coordinates for GPS attendance.
- Each location can have its own holiday calendar and attendance rules.
Departments (Settings > Organization > Departments):
- Create your org structure — Engineering, Sales, HR, Finance, etc.
- Assign department heads (optional, can be updated later).
- Departments appear in reports, filters, and the org chart.
Job Titles (Settings > Organization > Job Titles):
- Standardise role names across the company.
- Titles appear in employee profiles, recruitment postings, and reports.
- Consistent titles avoid duplication in filters and analytics.
Changes to the org structure reflect immediately across the platform — employee profiles, reports, and permission scopes.
Document templates and letterheads
Document templates (Documents > Templates):
- 1Create reusable templates with dynamic variables — {employee_name}, {role}, {salary}, {date_of_joining}.
- 2Use templates for offer letters, appointment letters, experience letters, and any HR correspondence.
- 3Generate documents with one click from any employee profile.
- 4Generated documents can be signed digitally and stored permanently.
Letterheads (Documents > Letterheads):
- Configure branded letterheads for formal document output.
- Upload your company header, signature block, and footer.
- Letterheads are applied automatically when generating documents from templates.
Document types (Documents > Document Types):
- Categorise uploaded and generated documents.
- Examples: Identity Proof, Employment Letter, Training Certificate.
- Categories help organise and filter documents across the platform.
Process settings (approval flows, escalations, resignation reasons)
Settings > Processes manages how work flows through your organisation — from request submission to final approval.
Process configuration:
- Approval Flows — define the chain for leaves, expenses, corrections, and more.
- Escalation Rules — auto-push pending requests to the next-level approver after a timeout.
- Resignation Reasons — standardise exit reasons for reporting and analytics.
- Clearance Templates — define the checklist items for offboarding (IT, HR, Finance).
Each process ties into the corresponding module automatically. Test flows before company-wide rollout.
Access control and permissions
Settings > Access > Permission Groups is where you define roles and their permissions — the core of your access control strategy.
Permission format:
- Each permission follows the module.action-scope pattern.
- Example: attendance.manage-all grants full attendance control.
- Example: attendance.view-team grants read-only access to the team's attendance.
- Create granular roles — 'Payroll Viewer', 'Recruitment Admin', 'Department Head'.
Managing roles:
- 1Go to Settings > Access > Permission Groups.
- 2Click 'Create Role' and give it a descriptive name.
- 3Toggle individual permissions on or off.
- 4Assign the role to employees from their profile page.
Role assignments control what every user sees and does in the platform. Review permissions quarterly to ensure they remain accurate.
