Create asset categories and add assets
Step 1: Define asset categories (Assets > Categories):
- 1Click 'Add Category' and enter the type — Laptops, Monitors, Phones, Badges, Furniture, Vehicles, etc.
- 2Set default values or rules for the category if applicable.
- 3Save — categories appear in dropdowns when adding assets.
Step 2: Add individual assets (Assets):
- 1Click 'Add Asset' and enter the asset name and serial number.
- 2Select the category from the dropdown.
- 3Enter purchase date, purchase price, and warranty expiry.
- 4Upload a photo of the asset for visual identification.
- 5Save — the asset is now tracked in the system with status: Available.
Assets can be tracked by status: Available, Assigned, Under Repair, or Retired. Use the list view to search, filter, and export your inventory.

Assign and track asset ownership
Assigning an asset:
- 1Open the asset record and click 'Assign'.
- 2Select the employee from the dropdown.
- 3Set an expected return date (if applicable — e.g., for temporary equipment).
- 4Add notes — any conditions or special instructions.
- 5Save — the asset status changes to Assigned automatically.
Tracking and returns:
- Employees can see their assigned assets on their profile.
- The asset history log shows every assignment, return, and status change.
- When an asset is returned, record the return date and condition — it becomes Available again.
- Useful for tracking who has what and when it's expected back.
Manage asset maintenance and lifecycle
Maintenance tracking:
- For assets under repair, change the status to Under Repair and add service notes.
- Track repair costs, vendor details, and expected completion dates.
- Change status back to Available once the repair is complete.
Lifecycle management:
- Track warranty expiry dates — the system can flag assets nearing warranty end.
- Retire assets that are obsolete or damaged beyond repair.
- Asset reports show depreciation, total inventory value, and assignment rates.
- The full lifecycle — from purchase to retirement — is logged and auditable.
