WhatsApp report delivery
Scheduled HR reports delivered to WhatsApp as a PDF, with the headline numbers in the message. Delivery only — this is not an employee self-service channel.
SignHR can deliver a scheduled report over WhatsApp instead of, or as well as, email. The report PDF is attached to the message and the headline figures appear in the body, so a manager sees the numbers without opening anything. Be clear about the scope: this is one-way delivery of reports you have scheduled. Employees cannot punch in, request leave or check a balance over WhatsApp.
How it works

Schedule the report
Reports are scheduled in SignHR on whatever cadence you want — daily attendance, weekly absence, monthly summaries — and you choose which channels each one goes out on.

Add WhatsApp recipients
Recipients are phone numbers rather than SignHR users, so a report can reach a site supervisor or a director who does not log into the system.

The PDF is uploaded once, then sent to each recipient
SignHR uploads the report PDF once and sends each recipient an approved template message carrying that PDF as the attachment and the summary figures in the body.

One bad number does not sink the send
Failures are isolated per recipient. If one number is wrong, everyone else still receives the report, and the delivery is only marked failed — and retried — if every recipient fails.
Where it stops
Every integration has edges. These are ours, stated here rather than discovered during implementation.
- One-way. Nobody can reply to the message and have SignHR act on it. There is no WhatsApp punch-in, leave request or balance lookup, and none is planned in what currently ships.
- Scheduled reports only. It is not a general notification channel — approvals, reminders and announcements go by email and in-app.
- Messages are sent as approved templates, which is a WhatsApp Business requirement. The message shape is therefore fixed rather than freely composed.
- Recipients are phone numbers, so keeping the list current is a manual job — someone leaving does not automatically stop receiving reports.
Questions
No. This is the misunderstanding worth clearing up, because it has been advertised that way in the past and it was never true. WhatsApp delivers reports out of SignHR; it does not accept anything into it. Attendance is marked in the app, on the web, at a biometric terminal, or by face or selfie punch.
Site supervisors, plant managers and owners who will not open an HR dashboard but will read a WhatsApp message. If your daily absence report is currently a person screenshotting a screen and forwarding it, this replaces that.
Yes. Channels are per scheduled report, so the same report can go to a shared inbox by email and to two supervisors on WhatsApp.
That recipient fails and the rest still receive the report. Only if every recipient fails is the whole delivery recorded as failed and retried, so a single stale number does not silently stop everyone's reports.
